Office of the Registrar
The Office of the University Registrar coordinates and controls activities involving students’ enrolment and registration, transfer, and graduation. The Office is primarily responsible for the updating and safekeeping of student and faculty records, as well as other vital documents and records of the University, and for the maintenance of such records in strict confidentiality. The Office is also primarily responsible for the enforcement of the regulations of CHED regarding admission and transfer, accreditation of courses and units, curricular load, sequence of courses, etc. Inquiries concerning admission, curricular offerings and similar information are routinely referred to and handled by the Office of the University Registrar.
To contribute to the attainment of the USC Vision and Mission, the Office of the Registrar commits to:
- serve the clientele, particularly students and alumni, in their pursuit of
personal and professional development outside the University through the issuance of complete and authentic documents to support their attainment and experiences;
- maintain a posture of a “clearing house” of all academic transactions of the University and to issue documents/records which are accurately reflective of students’ and alumni’s activities and performance;
- establish a system of verifying the veracity and authenticity of records and documents relative to the qualifications of students in the completion of their respective fields of endeavor in the light of the University and CHED requirements;
- maintain a system to safeguard the students, faculty and alumni records and documents and preserve their confidentiality for posterity and availability for research purposes;
- establish rapport and harmonious relationship with the academic administrative and finance departments of the University for the smooth and effective implementation of the policies and standards of the University and the CHED;
- formulate rules and guidelines to accommodate the needs and problems of the students in the light of the standards and policies of the University and the CHED;
- cooperate and coordinate with other institutions, both public and private, by establishing linkages with these institution and agencies towards achieving effective inter-institutional interaction;
- promote and foster international understanding through assistance to foreign students by maintaining effective admission program in coordination with government regulatory bodies tasked with entry, stay and monitoring of foreign students in the country.
In order to carry out its mandated functions effectively, the Office of the University Registrar is composed of four distinct sections: the Records Section, the Evaluation Section, the Foreign Students Section, and the Academic Register Information System (ARIS) Section.
